T-Shirt Sellers
This must be a responsible student that can inventory shirts and keep an accurate account for the money collected. After sale, your organization keeps $1.00 for every $10.00 collected.
Stage Manager
This student must keep the stage crew organized for the stage change that takes place after each performing ensemble (essentially Instrumental performances). Students and parents from the performing ensemble should also assist with the stage change.
The Stage Manager is responsible to get seating charts fro the performing groups prior to their warm-up, and keeping the stage change moving at a rapid pace.
Stage Crew
These students (2-3) work under the stage manager’s direction to reset the performance stage for each ensemble. It is essential that the stage be reset in a quick and efficient manner, as not to interfere with the performance schedule.
Bus to Warm-Up Guide
This student must have a watch. This student will be introduced to the director by the Bus Greeter. The student will escort the director to the Registration Table (leaving the students on the bus if time allows), where the director will drop off his adjudication packets and receive his park tickets (if applicable) and pins. The guide will then return to the bus with the director where the director will assemble his students. Five minutes prior to their scheduled warm-up time, the guide will lead the director and students to the warm-up area.
If a group has arrived extremely early, they may wish to have their pictures taken prior to their performance. This is dependent on the photographer’s availability. They are also welcome to enter the performance area and watch another group. However, no one may enter the performance area while a group is on stage, they must wait until the completion of the performance.
Once a group has begun to enter the warm-up room, assist parents, percussionists, etc. with placing percussion instruments backstage.
Warm-Up to Performance Guide
This student should be waiting backstage during each performance. At the completion of the previous group’s performance, the guide should proceed to the warm-up room and inform the director that the stage is ready for set-up.
Note – some performances do not take anywhere near the time allotment. If an ensemble has only been in warm-up for 10 minutes, do not ask them to move to the performance early. Take any students and parents available to the stage to assist the stage crew with set-up.
Approximately 5 minutes prior to the end of their warm-up period return to the warm-up room and escort the group to the performance stage. Some directors won’t want to move. A parent or teacher should be available to help the students “push” if necessary to stay on schedule.
Stage to Clinic/Sightreading Room Guide
This student should be waiting backstage. Upon the completion of each performance, escort the group to the clinic/sightreading room (if applicable). At this point, the student should remind the director to pick up his cassette tapes and conductor’s scores at the Registration Table.
Stage or Clinic/Sightreading Room to Photographer
This student should be waiting outside of the clinic/sightreading room and escort the group to the photographer. If the group is not having their pictures taken, this student should escort them to the case storage area.
Adjudicator Packet Runner
This student is responsible for delivering the Adjudication Packets turned in at registration to each of the judges immediately prior to the group’s performance. Upon completion of the performance, the runner delivers the next set of packets, and retrieves the packets from the previous ensemble. It is vital that the student runner ensure the score sheets are not in the packets (they should remain with the judges until the end of the competition day). The packets should then be returned to the Registration Table, where the ensemble director has been instructed to pick them up.
