Adjudicator Meeting
Meet briefly with the judges to distribute their packets and review the following procedures:
The following special awards should be chosen by the adjudicators: (check your trophy list to see what age groups need to be chosen)
You may want to have some extra pencils, a pencil sharpener, spare batteries, etc. on hand just in case.
It is possible you will need a new score sheet for an ensemble. Several extra blank score sheets will be in each adjudicator's packet. In addition, you can download blank score sheets from our web-site. Here is a link to all the available sheets:
Complete Recaps
Upon completion of the performances, collect the score sheets and cheat sheets from the adjudicators. Check immediately that all sheets are completed and signed, and that there are no visible erasures on them. If there are, have the adjudicators correct this immediately.
Using the primer we have provided, enter the scores into the recap. It is vital that any group for rating only (they will have an R instead of C at the end of their classification) not have numbers listed on the recaps. They receive the “rating” equivalent of their numerical score ( Superior, Excellent, or Good)
Using the completed recaps, select the Overall Awards (again, check the trophy list to see which ones you will be awarding), and using the information from the judges, enter the soloist, accompanist, vocalist, and Jazz Section information on the special awards. It is possible that no one will receive these awards.
Run copies of the entire recap and place one copy, along with the appropriate score sheets, in the envelope provided.
